Charge and collect a parlor fee from any non-resident members to help cover the costs of wear and tear and maintenance of the facility. The fee should be a minimum of $500 each semester. This fee should not be prohibitive but should help to service some of the anticipated debt. 6. Assess a minimum security deposit of $300. Contracts and security deposits should be collected from each undergraduate before she is permitted to move into the chapter house. Refunds of security deposits should not be made until damage and professional cleaning costs have been deducted at the end of the spring term. 7. Review the building insurance and property taxes at a minimum of once every other year to see if either can be successfully lowered and to make sure policies are adequate to cover any losses. 8. Implement check-in and checkout procedures for the beginning and end of each semester/academic year. This will ensure undergraduate women leave their rooms in the same condition as they found them. A similar procedure should be established for the common areas of the chapter house. 9. Pennington & Company recommends having the house professionally cleaned a minimum of once a year, preferably at the beginning of each summer. E. Subsequent steps Should the Delta Xi Chapter choose to proceed with a capital campaign, the following tasks must be completed—with the assistance of Pennington & Company—prior to major solicitation efforts: 1. Develop and adopt the recommendations outlined in this report. 2. Develop plans to align with the fundraising goal and develop a financial plan to illustrate how the project will be completed through a combination of fundraising and financing. 3. Recruit the campaign chairmen and other campaign leadership. 4. Refine the case statement and begin preparing a campaign promotional brochure. This brochure will be used as a basis for the final printed brochure for the public phase of the campaign.
